Things to Know About Your Event Rental

There are a few things you should know in order to make sure your event goes smoothly:
Cancellation Policy
50% of your total balance collected is your non-refundable retainer, used to hold your party equipment and event date.
In the event that the you must cancel the Event within seven (7) days of the Event, all amounts paid to Happy Tots Play Co. shall be deemed non-refundable and forfeit. Any unpaid balance shall immediately become due to Happy Tots Play Co. Refunds are granted on a case by case basis, at the sole discretion of Happy Tots Play Co. Materials, custom props, and labor will be deducted from said refund if it is granted. The initial 50% non-refundable retainer is NON-REFUNDABLE.
Weather Policy
Safety is our top priority. It is your responsibility to have an Indoor Plan B option for all outdoor events.

We will NOT set up outdoors in the following conditions:

10 % chance of rain or greater for all rentals during any point during the set up, rental, or pick up windows

15mph winds/wind gusts or greater for inflatables, backdrops, tents, and/or balloons.

If these conditions apply, we will set up your event in the indoor space you provide. There will be no refunds for rental items that do not fit in the indoor space. Should you not be able to provide an indoor space, you can will have a 50% credit to reschedule your event.

If the event has commenced or set up has already been completed and it begins to rain on your event, we will not be able to reschedule or move the items. We will come and pick up the equipment with no reschedules or refunds should this be the case.
Rescheduling Policy
Please email hello@happytotsplay.com should you need to reschedule your event.
As the items have been booked and set aside for your exclusive use on the requested event date, credits toward a rescheduled event shall be given based on the advance notice given to Happy Tots Play Co. Credits are required to be applied and used within the 12-month period following your original event date:

28+ days’ notice prior to the Event Date: Full credit.

27-21 days’ notice prior to the Event Date: 75% credit

20-14 notice prior to the Event Date: 65% credit

14-7 days’ notice prior to the Event Date: 50% credit

6-0 days’ notice prior to the Event Date: 0% credit and full forfeiture of fees.
Remaining Balance & Contract
If you only paid the 50% non-refundable deposit for your rentals, the remaining balance is due no later than 14 days prior to your event. This helps us ensure that there are no delays in delivery.

A signed contract is due within 24 hours of us receiving your booking. Please check your email.
Set Up & Pick Up Times
Your set up and pick up times are stated in your contract. You will also recieve a text from a team member teh morning of the event with your exact delivery and pickup windows.
Inflatables on Grass
Please ensure that your grass is cut no later than the 3 days before we set up your inflatable if it's on grass - fresh cut grass actually makes it very difficult to keep the unit clean and will incur an additional cleaning fee.
Space
Please measure your set up area to make sure everything will fit as we cannot be responsible if there’s not enough room for the rentals you selected. The pathway to the set up area should be cleared as well as the set up space itself. Please make sure all furniture, debris, and feces are cleared from the set up area.
Power
You are responsible for ensuring that there are enough power outlets (and power) within 50 feet of your set up area. If you are renting a bounce house typically 1 regular wall outlet will do the job.
Stakes
We drive stakes into the ground to secure most equipment. In accordance with state laws, someone from the state may come out to your property and mark the underground utilities by calling 811 the week prior to our arrival. We are not responsible for any damage to sprinkler systems on the property due to stakes or staking. If you have a sprinkler system please let us know where not to stake.
Public or County Parks
If your event is at a city owned venue or county park, you are responsible for ensuring that you have the proper permits and certificate of insurance. You can obtain a certificate of insurance from us by requesting one via email at hello@happytotsplay.com. Most parks require a general permit and a special use permit for inflatables, generators, tents, etc. Verify this info with the park and make sure we are allowed to use stakes to secure the equipment into the ground.
Leaving Equipment
Equipment cannot be left unattended. You will be liable for any theft or damage that occurs to the equipment if it is left unattended and your damage waiver will be void (if applicable). This also means that if your event is at a park, you cannot leave the park before we pickup the equipment.
